Start with the property and permission
A short-let proposal should begin with a specific property, a clear guest audience and a workable operating plan. Consider the reasons a guest would stay there, access to the places they need and the standard of accommodation they will expect.
Confirm that the intended use is allowed under the ownership or lease documents and the building's rules. Check the applicable Ghana Tourism Authority registration and licensing requirements before operating. A listing on a booking platform is not a substitute for those checks.
Build the full setup budget
Separate the purchase or rental commitment from the cost of preparing the unit. Your setup schedule may include furniture, appliances, linen, kitchen equipment, internet installation, photography and any repairs needed before guests arrive. Identify which items are included in a quoted furnishing package and which are extra.
Keep a working cash allowance for the opening period. Decide who will fund replacement items, emergency repairs and expenses during months with fewer bookings. These are planning decisions to make before a management agreement begins.
Separate booking revenue from owner cash
Start with booked nights multiplied by the realised accommodation rate, allowing for discounts and refunds. Then list platform charges, management fees, cleaning and laundry, utilities, internet, consumables, service charges, maintenance and insurance. Show separately any amounts collected from guests and passed through to another party.
Deduct the applicable operating costs to estimate operating income. Assess financing payments, taxes, replacement spending and reserve contributions separately when estimating cash available to the owner. Define whether a management percentage is charged on gross bookings, collected revenue or another base, and how cancellations and cleaning fees are treated.
Test quieter months as well as busy periods
Build a monthly model using assumptions you can explain. Use a cautious case, a working case and a stronger case, with different booked nights, realised rates and costs. Include days when the owner uses the property or the unit is unavailable for maintenance.
Ask anyone presenting an income estimate for the evidence and period behind it. Useful evidence includes actual booking statements and operating expenses for genuinely comparable units. A festive-season rate or an advertised listing price should not become a full-year forecast without supporting evidence.
Include the right tax and insurance treatment
The Ghana Revenue Authority publishes guidance on rental income taxation. Ask a qualified adviser which treatment applies to your ownership structure and the services being supplied, rather than applying one advertised tax percentage to every accommodation business.
Confirm suitable cover directly with your insurer and read the exclusions. Airbnb's Ghana hosting guidance notes that its platform protection does not replace adequate home, rental or liability insurance. Record who handles licensing, tax records and renewals in the operating agreement.
Ask for a written operating proposal
Before appointing an operator, request the complete fee schedule, guest-service scope, reporting example and repair approval limits. Agree who controls listings, access codes and payouts. Review the proposal against your budget and a longer-term letting alternative. The decision should rest on a property-specific plan, with assumptions that can be checked and updated.
